Essential Tips for Starting in the Import Export Business

A useful import-export enquiry begins with a clear description of the product and the intended transaction. The following checklist helps buyers and trading teams organise the information needed for an initial discussion.

1. Describe the product

Record the product name, grade, dimensions or size, intended application and required quantity. Attach a specification, drawing or technical data sheet where relevant. A shared product description reduces uncertainty when comparing enquiries and quotations.

2. Identify the trade route

State the preferred origin, destination country, destination port or delivery location, and expected delivery period. Requirements differ between markets and products, so the intended route should be clear from the start.

3. List packaging and documentation needs

Include packing format, marking, label language, inspection criteria and any documents requested for the intended market. Keep these requirements together with the product specification so that they can be reviewed as one enquiry.

4. Compare the commercial scope

When reviewing quotations, compare the same product, quantity, packing, delivery scope and documentation. Record the quoted currency, validity period and agreed payment and delivery terms. A lower headline price does not describe every element of an offer.

5. Keep a written record

Maintain the enquiry, specification, quotation and agreed changes together. Confirm the final requirements before an order proceeds and identify a contact person for product, shipment and document questions.
